Responsibilities

  • Manage complex calendars using tools like Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and events with attention to detail.
  • Coordinate travel arrangements, including booking flights, accommodations, transportation, and preparing itineraries.
  • Handle correspondence through phone calls, emails, and written communication with professionalism and courtesy, ensuring prompt responses and follow-up.
  • Assist with event planning for meetings, conferences, and company functions from logistics to execution.
  • Maintain accurate records through data entry, filing systems, and document management using Microsoft Office and DocuSign for electronic signatures.
  • Support bookkeeping activities such as invoicing, expense tracking, and QuickBooks data entry to ensure financial accuracy.
  • Provide executive administrative support by preparing reports, proofreading documents, transcribing notes, and managing confidential information discreetly.
  • Oversee office management tasks including supply inventory, front desk duties, filing systems, and handling multi-line phone systems with excellent phone etiquette.
  • Facilitate project coordination by tracking deadlines, following up on action items, and ensuring timely completion of tasks.
  • Deliver exceptional customer service by assisting visitors at the front desk and responding effectively to inquiries.

Requirements

  • Proven experience as a Personal Assistant or in an administrative support role with a strong background in office management.
  • Excellent organizational skills with the ability to prioritize tasks efficiently in a busy environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications (Gmail, Calendar), and familiarity with Microsoft Outlook Calendar.
  • Strong typing skills along with experience in transcription and proofreading to ensure accuracy in all documents.
  • Knowledge of bookkeeping software such as QuickBooks and experience with data entry and clerical tasks.
  • Exceptional communication skills demonstrating professional phone etiquette across multi-line phone systems.
  • Ability to handle confidential information responsibly while maintaining high levels of discretion.
  • Experience in event planning, project coordination, office management, and customer service is highly desirable.
  • Tech-savvy with computer literacy across various platforms including office equipment like scanners and printers; familiarity with DocuSign is a plus.
