Key Duties and Responsibilities

  • Manage and maintain schedules, appointments, and meetings for senior staff

  • Handle correspondence via email, phone, and other communication channels with professionalism and courtesy

  • Prepare reports, presentations, and other documents using Microsoft Office and Google Workspace

  • Assist with data entry tasks, ensuring accuracy and confidentiality

  • Organise travel arrangements and accommodation bookings as required

  • Maintain filing systems both digitally and physically for easy retrieval of information

  • Support with invoicing and bookkeeping using QuickBooks

  • Perform general administrative tasks such as photocopying, scanning, and ordering office supplies

  • Liaise with clients, vendors, and other stakeholders on behalf of the team

Required Skills and Experience

  • Proven administrative experience with strong organisational skills

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications

  • Experience with QuickBooks or similar accounting software is desirable

  • Excellent data entry skills with high accuracy and typing speed

  • Strong phone etiquette and professional communication abilities

  • Demonstrated office experience with clerical duties such as filing, scheduling, and correspondence management

  • Ability to prioritise tasks effectively in a fast-paced environment

  • Exceptional organisational skills with attention to detail
