Role Summary

Cultivate Gardens Ltd is seeking an Executive Assistant to support the Managing Director across core business operations, including administration, logistics, and some light marketing activity.

Please note that the salary shown in the advert is the full-time equivalent for this role, and the final salary would be pro rata based on the number of hours worked.

Key Responsibilities

Business Support

  • Liaising with suppliers and maintaining strong working relationships

  • Assisting with HR-related tasks, including arranging staff training and supporting general welfare

  • Supporting basic bookkeeping tasks (no specialist knowledge required; core accounting and payroll are outsourced)

  • Managing business workflow and helping keep projects and operations running smoothly

  • General administrative tasks such as sourcing items, preparing invoices, typing up quotes and contracts, managing the project portfolio, and responding to client enquiries

Project Support

  • Placing orders for plants, materials, and supplies

  • Tracking deliveries and ensuring materials arrive on schedule

  • Managing pre-project administration, including permits and documentation

  • Keeping clients informed about project timelines, schedule changes, and expected completion dates

Marketing and Communications

  • Writing blog posts and preparing content for social media

  • Updating and maintaining the company website (no existing technical expertise required)

  • Assisting with marketing campaigns, including commissioning printed materials and supporting online advertising

  • Monitoring enquiries, updating portfolio content, and helping maintain a consistent brand presence

  • Preparing materials for social media and posting (LinkedIn, Instagram)

Minimum Requirements

  • Strong literacy and numeracy skills

  • Solid computer skills (Microsoft Office or equivalent)

  • Basic familiarity with social media platforms

  • Ability to manage multiple tasks and stay well organised

Desirable Skills and Experience

  • Experience working in or with small businesses

  • Customer-facing experience in a high-value or service-led environment

  • Experience placing orders or managing materials and stock

  • Understanding or experience of the garden design or landscaping sector

  • Interest in and knowledge of plants and horticulture (professional or amateur)

  • Website management experience (e.g., Squarespace or similar)

  • Marketing or content creation experience

  • General design skills (e.g., producing flyers or simple promotional materials)
