This 6-month role offers the opportunity to join one of the world’s leading cardio-oncology services at Royal Brompton Hospital. Established in 2011, the service manages a high volume of complex referrals and was awarded Gold Centre of Excellence status by the International Cardio-Oncology Society in 2022.

The Project Administrator will work within a multidisciplinary team supporting Dr Alexander Lyon, Dr Sohaib Nazir, Professor Rosen, nurse specialists, the cardio-oncology GP, clinical fellows, research fellows and research nurses.

The post-holder will provide administrative and diary support to clinical leads, including schedule management, meeting coordination, agenda preparation, document handling, inbox management and follow-up actions.

The role also involves managing processes for international fellows, including onboarding, documentation, compliance and acting as a key liaison throughout their placement.

Additional responsibilities include supporting service projects through report preparation, milestone tracking and service improvement activities. The post-holder will also help organise local and international events and service meetings.

Support will be provided for managing cardio-oncology project funding, tracking expenditure, processing financial documentation and liaising with finance teams to ensure effective budget monitoring across the Heart Division.

Main Duties and Responsibilities

  • Provide administrative support to the Cardio-Oncology Centre of Excellence Project Group and related public health projects

  • Provide secretarial support to project leads, including diary management, correspondence, report preparation and travel bookings

  • Assist in project planning, including clinical research administration

  • Work independently to resolve day-to-day issues, seeking guidance where appropriate

  • Act as a first point of contact for internal and external queries

  • Disseminate information as directed

  • Develop and maintain computerised filing systems and resource libraries

  • Coordinate, manage and administer events

  • Liaise with other directorates, provider services and partner organisations

  • Contribute to budget management by updating spreadsheets and producing monitoring reports

  • Order supplies for the project team

  • Maintain and update websites, uploading documents and content where required

  • Develop and update resource and training databases

  • Provide administrative support to private practice services within the cardio-oncology service and wider partners

  • Schedule and organise steering group and subgroup meetings, including minute taking

  • Uphold a professional corporate image when dealing with internal and external organisations

  • Previous administrative experience within the NHS

  • Experience liaising with multidisciplinary teams

Qualifications – Essential

  • High level of computer literacy

  • Educated to diploma level in administration or equivalent experience

Education and Qualifications

Essential

  • Bachelor’s degree

  • Diploma (or working towards) or relevant equivalent experience and/or training

Desirable

  • Experience using contact or content management systems and online collaboration portals

  • Experience of complex diary management

  • Experience providing administrative support to academic or health service programmes

Skills, Knowledge and Ability

Essential

  • Excellent knowledge of Microsoft Office applications including Word, Excel, Outlook, Access and PowerPoint

  • Knowledge of administrative procedures, IT systems and finance systems

Desirable

  • Experience of basic online research

  • Ability to organise and collate information from multiple sources in a structured manner

  • Experience working in research, academic, health, care or recruitment environments
