Job Overview

Responsibilities

  • Manage complex calendars and scheduling for executive-level leadership
  • Coordinate comprehensive travel arrangements including logistics and itineraries
  • Organize and facilitate meetings and events for the department
  • Coordinate department financial operations including expense tracking and budget monitoring
  • Support personnel operations and administrative processes
  • Manage facility operations and related administrative needs
  • Complete special projects as assigned with minimal supervision
  • Monitor and process VISA applications and related documentation
  • Maintain organized systems for tracking departmental activities and commitments

Requirements

  • Prior experience supporting executive or GM level individuals
  • Demonstrated experience with VISA applications and international travel coordination
  • Background in monitoring travel and expense management
  • Experience with financial management and budget tracking
  • Advanced technical proficiency in Microsoft productivity tools including Excel, PowerPoint, and Word
  • Expert calendar management and scheduling coordination abilities
  • Strong organizational skills with ability to prioritize multiple competing demands
  • Excellent written and verbal communication skills
  • High level of discretion and ability to handle confidential information
  • Proactive problem-solving capabilities and resourcefulness
  • Adaptability and growth mindset to navigate changing priorities
  • Strong attention to detail and accuracy in all work products
  • Ability to work independently with minimal supervision
