Responsibilities

  • Manage complex calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and events with precision.
  • Coordinate logistics for meetings, conferences, and special events, including venue arrangements, catering, and materials preparation.
  • Handle correspondence via email, phone calls, and multi-line phone systems with professionalism and excellent phone etiquette.
  • Prepare documents through proofreading, transcription, data entry, and filing to ensure accuracy and clarity.
  • Support bookkeeping tasks using QuickBooks for invoicing, expense tracking, and financial record keeping.
  • Assist with office management duties such as supply procurement, maintaining office organization, and overseeing front desk operations.
  • Provide personal assistant support to executives by managing travel arrangements, preparing reports, and handling confidential information discreetly.

Requirements & Qualifications

  • Proven experience as an executive assistant or in a similar administrative role with a minimum of two years of office experience.
  • Demonstrated proficiency in Microsoft Office Suite (Word, Excel PowerPoint), Google Workspace applications, and data entry tools.
  • Strong organizational skills with the ability to multitask efficiently in a fast-paced environment.
  • Experience with project coordination and event planning from inception to execution.
  • Familiarity with bookkeeping software such as QuickBooks and basic bookkeeping principles.
  • Excellent typing skills along with transcription and proofreading abilities.
  • Prior experience supporting high-level executives or personal assistants is highly desirable.
