Responsibilities
- Operate phone systems, answer inquiries, and route calls efficiently using proper phone etiquette
- Assist with email inquiries, and provide professional responses to assist the firm Principal
- Perform data entry tasks using Microsoft Office Suite, Google Workspace, and other office software to maintain accurate records
- Assist with filing, document proofreading
- Support calendar management by scheduling appointments, meetings, and coordinating events with attention to detail
- Provide excellent customer service by supporting clients, vendors, and team members with professionalism and responsiveness
- Assist with and manage social media posts on platforms such as Instagram
- Research materials, interface with vendors, and order samples for projects
Requirements
- Proven office management or administrative experience in a fast-paced environment. Experience in the world of design is preferred
- Excellent writing and verbal communication skills
- Self-motivated and efficient time management skills
- Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace (Docs, Sheets), and data entry skills, and Adobe PDFs
- Strong graphic skills are preferred. Experience with the Adobe suite (Acrobat, Illustrator, Photoshop) are a plus; ability to create social media posts via Instagram or Tiktok are an asset. Please provide detail about this experience
- Demonstrated organizational skills with the ability to prioritize tasks efficiently and manage time effectively
- Familiarity with clerical tasks such as filing, proofreading documents, and maintaining records
- Previous experience in customer support or customer service roles that require excellent phone etiquette and interpersonal skills
