Responsibilities
- Provide comprehensive administrative support to executives, including calendar management, appointment scheduling, and travel arrangements
- Handle incoming calls using multi-line phone systems with professionalism and courtesy, ensuring excellent phone etiquette and customer support
- Manage correspondence, emails, and documents efficiently using Microsoft Office, Google Workspace, and other office software
- Maintain organized filing systems, data entry records, and ensure accuracy through proofreading and meticulous attention to detail
- Assist with office management duties such as supply inventory, front desk operations, and coordinating office maintenance
- Support bookkeeping tasks using QuickBooks or similar accounting software, including invoicing and expense tracking
- Facilitate communication between departments, clients, vendors, and visitors while maintaining a welcoming front desk presence
Requirements
- Proven office management or administrative experience in a professional setting
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools
- Experience handling multi-line phone systems and providing excellent customer service in person or over the phone
- Bilingual abilities are highly desirable to support diverse client needs
- Familiarity with clerical tasks such as filing, data entry, proofreading, and calendar management
- Prior experience as a personal or executive assistant is preferred
- Knowledge of medical or dental receptionist duties is a plus but not required
