Responsibilities
- Manage and maintain sales tracking systems and internal reporting
- Ensure CRM data accuracy, integrity, and timely updates
- Conduct outbound and follow-up calls with prospects and clients
- Support pipeline management and track deal progression
- Communicate updates, delays, and priorities with internal teams
- Ensure deadlines are met and no tasks fall through the cracks
- Identify operational gaps and proactively recommend improvements
AI, Data & Process Optimization (Core to This Role)
- Utilize AI tools (e.g., ChatGPT, Claude) to:
- Draft and refine follow-up messaging (email, SMS, call scripts)
- Summarize calls and client interactions into actionable insights
- Improve sales processes and internal documentation
- Analyze CRM and tracking data to:
- Identify stalled deals, bottlenecks, and missed opportunities
- Surface trends in pipeline activity and lead behavior
- Provide clear, organized insights to support decision-making
- Build and maintain structured follow-up systems, including:
- Task reminders and cadence tracking
- Automated or semi-automated workflows
- Consistent messaging frameworks aligned with the sales process
- Continuously improve workflows by combining data, AI, and process optimization
Qualifications
- Highly organized and detail-oriented
Strong ability to manage multiple moving parts with accuracy
- CRM experience
Understanding of pipelines, lead tracking, and follow-up systems
- Strong communication skills
Professional and confident on phone, email, and internal communication
- Proactive mindset
